Description

The Aspen School District seeks a Director of Facilities. 

 

Reports to: Superintendent or designee

 

Terms of employment: 12-month (234 day calendar, with some variance depending on the year), classified, exempt, at-will employee.

 

Work Schedule: As per individual assignment in keeping with assigned 12-month work calendar.

 

Position Summary: This employee organizes, administers, and leads a comprehensive program of maintenance, facilities management, and custodial services for all district facilities, including school grounds and housing. The Director of Facilities manages all facilities, maintenance, and projects in an efficient and economical manner.  The Director ensures that all facilities are safe, clean, attractive, and healthy environments. 

 

Principle Responsibilities:    

  • Collaborates with others including facilities staff, district personnel, community organizations, etc. for the purpose of implementing and maintaining services and/or programs; 
  • Collaborate closely with building principals and other directors for the management of facilities; 
  • Coordinates schedules and special event operations to ensure preparation and smooth operation of all facilities; 
  • Develops long and short-range maintenance plans/programs for the purpose of ensuring district resources are effectively maintained and utilized; 
  • Conducts regular inspections of all school facilities and equipment to ensure high standards of safety, cleanliness, and attractiveness are maintained;
  • Develops and manages a comprehensive system of preventive maintenance; 
  • Directs projects such as site repairs and construction to ensure completion within established time frames, project design, and budget; 
  • Manages housing facilities including repairs, work requests, maintenance, grounds keeping; 
  • Maintains a district-wide inventory control system and purchases supplies, parts, and equipment through an established bid or price quote process;
  • Oversees risk management and safety of school district facilities; 
  • Inspects construction, repair work, projects, equipment, work orders, daily maintenance, and supplies to ensure jobs are completed efficiently and accurately; approves or receives approved inspection reports; and obtains payment requests; 
  • Monitors and recommends systems and procedures to ensure the security of all facilities; 
  • Serves as a liaison for the school district on long-range facilities plans with planners, architects, and construction companies for any new capital projects projected or undertaken ensuring specifications are within local/state/federal regulations; 
  • Establishes and maintains a system of financial records, financial controls, budget management, and timely financial reporting for the department; 
  • Monitors fund balances of assigned programs and related financial activity to ensure the expenses are within budget limits and fiscal practices are followed; 
  • Participates in meetings, workshops, and seminars for the purpose of conveying and or gathering information required to perform duties; 
  • Manage personnel functions of the department, including: interviewing, orienting, supervising, counseling, and evaluating staff; 
  • Ensure all facilities staff perform duties consistently with customer service standards; 
  • Provides ongoing and frequent staff training to promote cleanliness, effective procedures, communication skills, customer service, work attitudes, and ethics for all facilities staff; 
  • Monitors and approves time records of all district maintenance and custodial personnel, pre-approving any use of overtime using established procedures and budget; 
  • Establishes and maintains a program of safety and accident prevention for all employees, including safe and proper use of equipment, vehicles, and materials, identification and prevention of hazards, air quality controls, and prevention of accidents and injuries; 
  • Oversee bidding, contracting, and training for outsourcing labor; 
  • Works cooperatively with community and state agencies, including police, fire, emergency, school health/nursing department, school district wellness programs, and vendors to ensure high standards of sanitation and safety are maintained throughout the district’s facilities and grounds; 
  • Develops and supervises work and vacation schedules for custodial and maintenance personnel, including substitutes; 
  • Manages snow removal operations; 
  • Works with Human Resources on terminations and transfers of custodial and maintenance staff for the purpose of maintaining staffing needs and productivity of employees; 
  • Research new products, laws, regulations to recommend purchases, contracts, and maintenance of district-wide services; and 
  • Ensures compliance with the Colorado Department of Health and Environment Regulations Governing Schools in the State of Colorado. 

  

Position Requirements:

  • Minimum Experience: 3 or more years of facilities management and repair required
  • Minimum Education or Formal Training: trade school, associate's degree, or bachelor’s degree in relevant field preferred 
  • Experience managing school campuses with multiple buildings, 4-5 star resort properties, hospital campuses, military facilities, performing arts complexes, or other complex facilities and grounds experience preferred. 

Skill Requirements:

  • Supervisory training and experience; 
  • Management training and experience; 
  • Basic plumbing, carpentry, electrical knowledge, and mechanical aptitude; 
  • Mathematical abilities for accounting, cost analysis, and determining ratios, volumes, and surface areas; 
  • Working knowledge of computer software, including spreadsheets and databases; 
  • Strong written and oral communication skills.

  • Maintain confidentiality of information relating to students and staff; and
  • Observe all district policies and procedures. 

  

Essential Environmental Demands: Exposure to noise, dirt, dust, and odors or fumes; hazardous materials or situations and temperature extremes

 

Essential Physical Requirements: Lifting over 50 lbs, repetitive motion, bending squatting, standing, sitting reaching, walking, climbing, crawling, and stooping in performing functions of the job.

 

Supervisory Duties: Leads or co-leads team in hiring decisions for custodians and maintenance workers.  Trains, schedules, and assigns work of custodians and maintenance personnel. With building principal, conducts performance reviews on schedule and undertakes disciplinary actions when necessary.
