Contract Period: 10 Month (203 days with some variance depending on the year)

Compensation: Driver Position: $26.27 - $32.65  /  Administrative Assistant Position: $26.79 - $33.30

Position Summary

The Administrative Assistant supports the Facilities Department and Transportation Department through the coordination of and participation in a variety of activities that streamline operations and maximize productivity. This position works closely with the entire Facilities team to maintain a safe, efficient, and well-organized environment. Responsibilities include processing invoices, purchasing, inventory control, staff training support, translating, event request management, work orders, route change requests, student bus passes, fee allocations, small vehicle trip management and data input, vehicle log data input, supplies ordering and stocking, and transportation event requests. Primarily responsible for assisting in the daily and ongoing routine, activities, and maintenance scheduling of the Aspen School District’s fleet. Reporting to the Director of Transportation and Facilities. This position supports and represents the Transportation and Facilities Operations; and serves Students, Colleagues, and Guests including handling complaints and responding to any emergency conditions.

 

Position Responsibilities

Transportation Department Administrative Assistant Responsibilities:

  • Responsible for the work and Routing and Activity software (Traversa) monitoring, reviewing and following up with the bus change requests and outgoing trips and vehicle scheduling.
  • Serve the needs of the Transportation, purchasing, invoice processing, and being the primary contact person when the Transportation Director is not accessible during the day.
  • Maintains and tracks department attendance performance, advises department management when attendance action is necessary.  
  • Responsible for monitoring morning and some afternoon radio transmissions to support drivers on the road and be the communication link between parents, the schools, and the drivers.
  • Support the electronic ID Bus Badge issuing process.
  • Responsible for inventory control to provide the Transportation Director with the list of needed items for ordering. Support the mechanics with parts ordering and scheduling of outside repair work for vehicles.
  • Interacts in a professional manner when dealing with building staff, students, clients, guests, supervisors and coworkers. Provides directions and other general assistance to Guests and Staff. 
  • Perform monthly inspections of life safety devices and assets.
  • Responds to inquiries from a variety of internal and external parties for the purpose of providing information.
  • Support all operations including parking enforcement, shipping and receiving, vehicle cleaning, and route driving as needed.
  • Assist the Director of Transportation and Other duties as assigned.

Transportation Department Driver Responsibilities:

  • Operate a school bus in a safe and lawful manner on an assigned route in accordance with the Colorado Rules and Regulations Governing Operation of School Transportation Vehicles Manual
  • Maintain order and safety among students on a school bus
  • Operate large school buses for an extended period of time to transport students off-campus for special activity trips, driving in a lawful and safe manner in unfamiliar surroundings varying from congested city streets to mountain roadway
  • Ultimate responsibility for the choice of routes and stops on activity trips to ensure the safety of the passengers and the vehicle
  • Perform pre- and post-trip bus inspections and periodic student evacuation drills in compliance with district rules and regulations for passenger safety
  • Adhere to the established rules concerning daily checking of the buses for cleanliness, and reporting of any suspected malfunctions of the bus
  • Report all student incidents, route stops, road conditions, time changes and grievances to the Director of Transportation immediately
  • Read and abide by the operation procedures outlined and explained in the Colorado School Vehicle Instruction manual
  • Recognize malfunctions in equipment and take appropriate action
  • See that loaded equipment is stored in a safe manner per C.D.E. regulations
  • Be available, when possible, for extra driving as required by the District
  • Report to the Director of Transportation immediately any misconduct occurring on a bus which may endanger the safety of any or all of the passengers
  • Fully cooperate with sponsors while on activity trips
  • Adhere to Board policy and Colorado State Law
  • Report any citations immediately to the Transportation Director, and remain with our insurance pools insurability standards

 Required Knowledge, Skills, and Abilities

  • Knowledge of:
    • Basic office equipment operation, including, but not limited to, computers, copiers, printers, phones and radios and other devices
    • Basic computer software functions
    • Knowledge of Colorado laws and rules regarding traffic safety, including traffic signs, signals, and devices       
    • Knowledge of safe motor vehicle operation including checking gas, oil, signals, wipers, brakes and other components to assure proper levels and operation
    • Manages oneself (is organized, prepared, and punctual; manages resources; meets deadlines; follows through on commitments; demonstrates appropriate physical appearance relative to job and environmental expectations) in a manner that enhances the image of public education
    • Displays willingness to learn new information
    • Satisfactorily completes a course in bus driving as presented by the Aspen School District Transportation Department
    • Learn bus routes and complete scheduled routes in timely manner, exhibiting flexibility as changes in schedules and routes occur         
    • Develops and maintains rapport and effective relationships with children and adults contacted in carrying out duties and responsibilities by using courtesy, diplomacy, collaboration, cooperation, support, and professional conduct   
    • Establish and maintain good working relationships with teachers, administrators, and all those contacted in the course of work
    • Observe all district policies and procedures
    • Due to the safety responsibilities involved with this position, drivers must be able to communicate clearly in English both orally and in writing; bilingual Spanish is a plus
  • Ability to:
    • Make decisions in accordance with rules, regulations, and procedures

    • Pass state-required physical exam and random drug testing per Colorado DOE Rules and Regulations for operators of school transportation vehicles
    • Pass a background check and drug and alcohol test upon hiring
    • Satisfactorily complete a course in bus driving instruction as presented by the Aspen School District

Minimum Qualifications

  • High School Diploma or GED.
  • Minimum of 1 year experience in an administrative support role.
  • 1-2 years of driving experience preferred
  • Current driver’s license with good driving record
  • Possession of or ability to obtain a Colorado Commercial Driver’s License, special school bus operator's permit
  • First Aid/CPR certification, or ability to obtain one

Preferred Qualifications 

  • Experience and training in an administrative support role for transportation operations.
  • 4 to 6 years of driving experience preferred
  • Current First Aid and CPR certification 
  • Clean driving record
  • Spanish bilingual

 Work Environment

    • Office environment; exposure to computer screens
    • Exposure to noise, dirt/dust, odors or fumes, hazardous materials or situations, and temperature extremes

 

  • Primary functions may require maintaining physical condition necessary for sitting for prolonged periods of time; use of a computer keyboard; lifting of files and tests. 

Essential Physical Requirements

  • Physical: Reaching, walking, standing, sitting, typing, talking, crouching, kneeling, seeing and hearing
